PTO — Salary Managers
Salaried managers have a separate PTO structure from hourly employees. This topic covers how that works. For hourly PTO, see L27.
PTO Accrual
Salaried managers accrue PTO on an annual allotment basis, based on your Anniversary Date of Employment:

PTO is available to use from the first day of each anniversary year. Eligibility for the next accrual level begins on the first day of the pay period of your employment anniversary.
Requesting PTO
- Submit a written PTO request to your district manager or owner — not to another store manager
- Requests should be submitted as far in advance as possible; a minimum of two weeks is expected for planned time off
- PTO approval depends on store coverage and operational needs — approval is not automatic
- Receive written confirmation of approval before making commitments that depend on the time off
Blackout Periods
All Unit and Assistant Managers are required to schedule PTO before November 10th and after January 10th. This window protects coverage during the holiday peak season.
Carry-Over
Unused PTO does not carry forward into the following employment year. All PTO is calculated using the time frames above — plan to use it before your anniversary year ends.
If your PTO does not carry over, plan to use it before your anniversary year ends. Do not wait until the last month — coverage may not be available on short notice.
PTO and Store Coverage
As a manager, you are responsible for ensuring your store has coverage when you are out. Before your PTO is approved:
- Identify who will cover your shifts
- Brief your coverage on any open issues, pending deliveries, or scheduled events
- Confirm the coverage plan with your district manager as part of the approval process
Sick Days and PTO
Salaried managers do not typically have a separate sick day bank — unplanned illness comes out of PTO. If you are ill, notify your district manager as early as possible. Consistent illness patterns may be addressed through separate channels under the attendance policy.
